Opportunity

The Human Resource Assistant provides comprehensive administrative support to the Human Resources (HR) department, as well as providing direct administrative support to the Associate Vice President and Human Resource Leadership Team (HRLT). This includes coordinating calendars and schedules, administrative process improvement projects and initiatives, serving as the departmental records management lead, coordinating project management and reporting, supporting human resources communications, and coordinating departmental finances. Job duties that the Human Resource Assistant regularly performs include: provides comprehensive meeting planning and support; keeps a calendar of relevant meetings, committees and deadlines and coordinates the submission of briefing notes and related documents/resources; plans and coordinates HR events (including university-wide events coordinated by HR); drafts, reviews, edits, formats, and distributes various documents, reports and presentations; maintains the HR intranet/portal and public-facing website; ensures proper records management and retention requirements are being met; prepares financial and operational reports; processes and prepares invoices, purchase requisitions, purchase orders and journal entries in PeopleSoft; and more.

Skills

• Ability to take initiative, work independently and manage multiple projects and/or priorities with minimal supervision.
• Ability to create professional reports and correspondence.
• Software proficiency - Microsoft Office including Outlook, Word, Excel and PowerPoint, Google suite of applications, Peoplesoft.
• Strong written, verbal, and interpersonal communication skills
• Excellent organizational and time management skills
• Aptitude towards logical problem solving and continuous improvement.
• Strong proofreading/editing skills
• Attention to detail - this position requires the handling of sensitive information including person data, system data, and financial data where errors could significantly impact the reputation of the department.
• Relationship management - the incumbent must demonstrate professionalism, discretion, and diplomacy in relationships internal and external to the department.

Qualifications

• Completion of a high school diploma.
• Formal training/certification in administration, office software, financial processing and/or records management is preferred.
• A minimum of three years of well-rounded administrative support experience, including providing support to senior leaders, meeting coordination, calendar management, project coordination, financial coordination, records management, and communications support is required.
• Experience in human resources is preferred.
• Experience in a post-secondary environment and/or a unionized environment is an asset.
