Reporting to the Lead, Project Support Office this position provides support to Research Centres in Industry Solutions.  Specifically, this position will facilitate all research and innovation activities in the Centre by leading, coordinating, tracking, managing and finalizing administrative details, reporting and financial management of grants.  Our successful candidate will provide the Lead with a high degree of assurance that the Centres has performed the necessary due diligence to meet funders’ expectations.  This position is critical to supporting the successful growth of Industry Solutions.  


Key Responsibilities:

  • Supports the research lead and specialists in grant application & research contract processes. Includes budgetary review of the application and supporting approved governance documents. Submits approved application to the Lead, Grants & Proposals for final submission to funder/partner.
  • Coordinates all Research Centre agreements including NAIT generated and externally generated Project Agreements
  • Manages requisitions, invoices, payments, journal entries, budgets and contract agreements;
  • Reviews all charges related to various Funder guidelines for compliance and eligibility as expected by Funder
  • Coordinates month-end activities and be able to work with tight deadlines
  • Advises researchers on cash flow situations, including monthly statements and projections to year-end at grant/project level.
  • Prepares, with Research Lead, quantitative and qualitative reporting as required internally or by the external funder. Includes supporting Research Lead to ensure all reporting requirements and deadlines are met.
  • Creates detailed supporting working papers for in-kind contributions including necessary agreements.
  • Provides planning documents, reports, adhoc reports and variance analysis to Industry Solutions Leadership
  • Supports Centre leadership in the preparation, tracking and reporting of NAIT budgets for Industry Solutions in the annual NAIT budget process;
  • Develops, tracks and reports on all Capital procurement for external funders
  • Coordinates all information for internal and external auditing and reporting purposes


Skills & Abilities

  • A strong customer service focus, excellent interpersonal and communication skills, and the ability to work in a fast-paced environment and meet deadlines are essential.
  • Highly organized and responsive, keen attention to detail
  • Strong analytical problem solving


Qualifications:

  • A relevant Business Degree; a related diploma may be considered with significant related experience.
  • 3-5 years of related experience with extensive and proven financial experience;
  • Experience with research grant facilitation and management would be a strong asset
  • Project management and budget preparation/support experience required
  • Advanced Excel skills required; PeopleSoft Finance experience would be an asset


Remuneration:   $2,510.03 - $3,375.45 bi-weekly, us a comprehensive benefits package  (Classification – Coordinator II)

This position is covered by the AUPE (Alberta Union of Provincial Employees) Collective Agreement.
