Job Description:

This position executes daily fiscal office operations and business transactions for the UF Graduate School on behalf of the Assistant Dean, Senior Associate Dean, and Accountant III. Duties include, but are not limited to, asset management, award program fiscal management, office maintenance, IT work orders, purchasing, PCard transaction processing, creating requisitions, entering travel authorizations expense reports and general reimbursements, budget/payroll reconciliations, tuition waiver management, fellowship management, insurance premium management, scholarship management, and space management. Advises and assists Assistant Dean, Senior Associate Dean and Accountant III. Works collaboratively with all Graduate School units: Administration, Data Management, Editorial, Student Affairs (Diversity Initiatives, International Outreach, and Professional Development), and Student Records.

Purchasing: Assists the business manager with financial and purchasing processes and procedures to ensure compliance with fiscal policy for daily operational and institutional needs. Initiates and processes purchase orders, PCard transactions, and invoice payments for Graduate School equipment and supplies, along with domestic travel for Data Management, Editorial, and Student Records. 
Award Program Coordination: Coordinates Graduate School funding awards fiscal management, helps with award paperwork, tuition waivers, insurance premium management, and reconciliations. Also helps with scholarship fiscal awards, management, and reconciliation.
Budget Reconciliations: Helps create and maintain budget records and reconciliations for the Graduate School and all units on a monthly and annual basis.  
Asset and Space Management: Tracks, inventories and allocates office space, computers, tele-phones, printers, keys and other moveable furnishings or equipment.
Office Maintenance and Operations: Processes UF Facilities Services work orders, UF Information Technology work orders, office supply inventory, and photocopy/printer maintenance.
Helps maintain and manage the Graduate School Tracking Program and assist the campus community with any questions or issues with the GSTP system.
Other duties as required.

Advertised Salary: $17.52 per hour, commensurate with education and experience.
Minimum Requirements:

High school diploma or equivalent and one year of general accounts transaction experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications:

Ability to work, analyze and make decisions independently. Excellent analytical, organizational, spoken and written communication, time management and personnel management skills. Hands-on knowledge of GIMS (Graduate Information Management System), Microsoft Word, Microsoft Excel and Adobe Acrobat, myUFL PeopleSoft Financial Modules and UF Campus Solutions Modules. Attention to detail and deadlines.
A thorough grasp of policy, procedure and protocol, along with a strong sense of institutional memory and stewardship, are extremely helpful.
