JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Center for Science and the Schools (CSATS) at The Pennsylvania State University is seeking candidates for an Administrative Support Assistant position. The successful candidate will be responsible for the following:

  • Greet customers, provide information and refer as appropriate. 

  • Screen and process routine telephone communications, mail and requests. 

  • Assist with events and programs and managing logistics.

  • Coordinate travel arrangements and make reservations. 

  • Coordinate travel reimbursements and prepare purchasing card documentation.

  • Prepare and reconcile invoices.

  • Assist with managing websites and social media.

  • Assist with developing marketing materials.

  • Assist with maintaining files and databases.

  • Scheduling meetings and appointments.

  • Managing the curriculum kits developed by CSATS.

  • Maintain confidential and sensitive information and materials. 

  • Maintain inventory and order/purchase office supplies; arrange for equipment -maintenance; process work orders for facilities repairs/needs. ​

This position requires a high level of organization and attention to detail, as well as professionalism and excellent verbal and written communication skills. Proficiency with standard computer applications and programs such as Microsoft Word and Excel are required.

Typically requires a High School diploma or higher plus one year of related experience, or an equivalent combination of education and experience. The successful candidate must demonstrate the following behaviors/skills: professionalism with a high commitment to customer service, interpersonal/communications skills, organizational skills, ability to manage and prioritize tasks with minimal direction, and exercise discretion and judgement while managing confidential materials.

This is a fixed term position with funding for one year from the date of hire with excellent possibility of refunding.
