Position Highlights The University of Arizona seeks an experienced professional to provide high-level administrative support and oversight for various core program components of clinical education and the Scholarly Project program within Curricular Affairs in the College of Medicine. This role collaborates with clinical curriculum team and scholarly project members to assist in curriculum management, compliance reporting, and data tracking and monitoring. The duties and responsibilities of this role may shift within the scope of a Program Coordinator, Senior position to adapt to the needs of the department and undergraduate MD program as warranted.

Duties & Responsibilities
  • Support the Program Manager (PM) for Clinical Education (PM) in administrative processes for the Work-Base Assessment (WBA) program (such as creation of accounts, tracking licenses), including basic monitoring and understanding of the WBA dashboard.
  • Work with PM and Electives Director to gather data reports, input updates for the course catalog, monitor grade posting compliance, and provide relevant materials to the Electives Subcommittee for enrichment electives.
  • In collaboration with the PM and Assistant Director for Clerkship Education (AD), assist in preparing committee agendas with meeting packet materials; create and facilitate meeting notices; keep and disseminate minutes for Tucson Clinical Curriculum Subcommittee (TCCS) and Electives Subcommittee.  Backup coverage for Executive Assistant for Tucson Education Program Committee (TEPC) meeting facilitation and administrative support.
  • Assist AD and PM with annual updates to the Clerkship Manuals and individual clerkship syllabi, including uploading and maintaining on-line versions and providing links to clerkships and the registrar’s office. 
  • Provide administrative support for Curricular Affairs oversight of regular completion of clerkship block duties to include compliance with grade posting policies, medical student completion of patient notes (i.e., Cerner) prior to awarding rotation grade, entry of logbooks and duty hours.
  • Provide administrative support for Curricular Affairs oversight of annual clerkship reports and processes required at the start and end of each clerkship year. Confirm with Faculty Affairs (for UA faculty), GME (for residents), and Clerkships (for non-U A instructors) the completion and storage of Teacher Learner Compacts and Clerkship Job Descriptions; annual clerkship reports; site visit tracking and reporting; and block change forms completion and routing for approval.
  • Collaborate with PM to provide administrative support coverage in absence of AD.
  • Administrative support for Mask Fit process.
  • In the absence of the PM, provide coverage for exam proctoring and assume administrative duties for the Student Progress and Student Appeals committees.
  • Coordinate distribution of forms and track Scholarly Project (SP) form completion by students and mentors, including tracking required items by semester to ensure credit is awarded.
  • With the direction of the Director of SP, update syllabi and forms, ensuring they go to committee approval and Registrar in a timely manner.
  • Upload materials and sessions into MedLearn and ensure ongoing maintenance of information updates and accuracy.
  • Assist with directing students to relevant resources to complete their SP.
  • Partner with the Director of SP and Curricular Affairs Assessment and Evaluation team in preparing evaluation reports and other requested data relevant to the impact of the SP.
  • Participate in program coordinator meetings.
  • Participate in curriculum planning meetings, including attending relevant committee meetings.
  • Assist SP Leadership in coordinating and scheduling meetings.
Minimum Qualifications
  • Minimum of 3 years of relevant work experience is required.
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
Preferred Qualifications* Intermediate to advanced experience in an academic medicine setting. * Minimum intermediate experience in MedLearn, Oasis. * Some familiarity and understanding of New Innovations and My Clinical Exchange (or similar platforms). * Advanced experience in Outlook, Excel, Word, and PowerPoint. * Demonstrated ability to triage and prioritize tasks with minimal direction. * Ability to independently research policies and protocols at national and UA levels as needed for reports, LCME accreditation documentation, and updates to medical education materials that are under the auspices of clinical education and/or scholarly project. * Intermediate to advanced skill in organizing and managing timelines and materials for department projects. * Experience liaising and communicating across all levels of hierarchy in a multi-department organization.
